Create a Single Company File
When you begin work on your company’s annual AAP in The Complete AAP™ (TCAAP) you must create a new file into which you can import new data. This file is called a “Company” in TCAAP, and the file can hold data for multiple locations under a single umbrella. How you create your TCAAP Company depends on where your organization stands in terms of its AAP history.
- Click here if your company’s previous AAP (s) was/were prepared using the current version of TCAAP™ software.
- Launch TCAAP if it is not already running.
- The first thing you see is the Companies window. If you or your predecessor successfully created AAPs in the past, you should see multiple years’ worth of Companies.
- Click (do not double-click) the last-prepared Company and then click the New button.
- Click Copy [Your Company] and prepare it for a new plan year and then click OK.
- In the screen that pops up, do the following:
- Review and adjust as necessary the Company Name; this will appear only on the cover pages of each published document.
- Type an Identifier; an identifier appears nowhere in printed documents and can be any alphanumeric code that helps you distinguish one Company from another in the Companies window.
- Review and adjust as necessary the Plan Beginning Date and Plan End Date.
- Do not tick the box beside Mid-Year Update.
- Select the Census Dataset from the drop-down menu; companies dated 1/1/2021 and after should use the 2014-2018 American Community Survey, and 1W-Worksite is the most widely-used dataset.
- Confirm that the EEO Type is correct; see FAQ below if you are unsure which to use.
- Click Copy.
- If you see a Census Data Set Change message pop up, see the FAQ below. Otherwise continue to the next step.
- The software will take you into the newly-created company where you can preview the following icons’ windows to confirm that the prior year’s data transferred. Do not worry at this point about fixing errors.
- Locations
- Departments (in Data menu)
- Job Groups (in Data menu)
- Jobs
- Activities (does not yet contain the prior 12 months of employment activities; that’s to come)
- Weights
- Prior Goals
- Outreach
- The Employees table is empty and is ready for you to populate it. Proceed to Gather Necessary Data.
- Launch TCAAP if it is not already running.
- Click here if your company has never before had a written AAP.
- Launch TCAAP™ if it is not already running.
- The first thing you see is the Companies window. The Companies window will be your starting point each time you launch the program, and it will eventually hold multiple years’ worth of AAPs.
- Click the New button.
- Click Create an empty company and then click OK.
- In the screen that pops up, do the following:
- Type the Company Name; this will appear only on the cover pages of each published document.
- Type an Identifier; an identifier appears nowhere in printed documents and can be any alphanumeric code that helps you distinguish one Company from another in the Companies window.
- Type or adjust the Plan Beginning Date and Plan End Date.
- Do not tick the box beside Mid-Year Update.
- Select the Census Dataset from the drop-down menu; companies dated 1/1/2021 and after should use the 2014-2018 American Community Survey, and 1W-Worksite is the most widely-used dataset.
- Select the EEO Type from the drop-down menu; see FAQ below if you are unsure which to use.
- Click Create.
- The software will take you into the newly created company. The company is empty and ready for you to populate it with your data.
- Proceed to Gather Necessary Data.
- Launch TCAAP™ if it is not already running.
- Click here if the previous AAP was not prepared in any version of TCAAP:
- Launch TCAAP™ if it is not already running.

Frequently Asked Questions
- What is an “Identifier?”
An identifier is an alphanumeric code that helps distinguish one AAP from another in the list of companies shown in the Companies window accessible from the Companies icon.
- What are my plan beginning and end dates?
See the AAP Basics chapter for information on establishing these dates.
- What is a mid-year update?
If you receive an OFCCP Scheduling Letter 6 months or more into your AAP year, you are required to submit a mid-year report in addition to the other items on the Scheduling Letter. You may also choose to do mid-year reporting as a good faith effort towards meeting AAP goals. More information on mid-year reporting may be found in the Prepare for & Respond to an OFCCP Audit chapter.
- Which census dataset should I use?
All AAPs that commence on or after January 1, 2022 must use the 2014-2018 American Community Survey (worksite or residence). AAPs dated prior to January 1, 2022 may utilize the 2006-2010 American Community Survey (worksite or residence).
- Which EEO type should I use?
EEO Type refers to the type of organization and the EEO categories of the jobs in your workforce.
- Private (meaning not state or local governments/municipalities) firms, should select “Private (EEO-1)” as EEO Type.
- State or local governments preparing AAPs should select “Public (EEO-4)” as EEO Type.
- Educational institutions preparing AAPs have the option of selecting either “Educational (IPEDS)” or “EEO-1 and IPEDS” as EEO Type.
- I received the Census Data Set Change message while creating my company; what should I do?
If the Census Data set Change message pops up, you have three choices. Clicking Yes will save you some time later.
- Cancel: the popup will close and the program takes you back to the Copy a Company window where you have the opportunity to select the prior year’s dataset. You will have the opportunity to change the census dataset later by selecting it in the Company Information window under the File menu.
- Yes: TCAAP will automatically crosswalk your job census code choices, and, where possible *, your census area selections from the 2006-2010 ACS to the 2014-2018 ACS. *Not all census areas in the 2006-2010 ACS data exist in the 2014-2018 ACS, so some crosswalks are not possible.
- No: TCAAP will select the new 2014-2018 ACS dataset, but it will not automatically crosswalk your 2006-2010 job census code and area choices to the newest codes/areas.
- Cancel: the popup will close and the program takes you back to the Copy a Company window where you have the opportunity to select the prior year’s dataset. You will have the opportunity to change the census dataset later by selecting it in the Company Information window under the File menu.
