Before You Begin
Have the following in place before you begin to gather your data:
- Establish your plan dates: The first plan should be completed within 120 days of your company’s initial federal contract date or, if that date is unknown, as soon as possible.
- Determine the number of plans that you must complete: Each of the contractor’s establishments that has 50 or more employees must have its own Affirmative Action Plan (AAP).
- Determine which employees should be in your plan: all active employees who work at and/or report to the establishment that has an AAP should be included.
Gather Your Data
There are three sets of data that you must gather for each plan that you complete:
- Workforce “Snapshot”;
- Adverse Impact Data (Applicants, Hires, Terminations, Promotions);
- Last year’s goals.
Gather Last Year's Goals
The way you gather last year’s goals depends on how, if at all, you prepared your plan last year. You should consider:
1) If your company did not have an affirmative action alan in place last year, you cannot determine progress made toward goals. You need not gather prior goals.
2) If your company did have an AAP in place, but you did not use The Complete AAP software to prepare last year’s plan, you will need a printout of the Annual Goals Report, the Utilization Summary or the Availability Analysis from that plan (any report that displays total availability of females and minorities for all underutilized job groups).
3) If your company did have an AAP in place, and you did use version 9, 10 or 11 of The Complete AAP software to prepare last year’s plan, you will need to have that plan available in either version of the Complete AAP in order to transfer last year’s goals from that plan.
