Basic Report Settings Tips

The following list contains some basic rules of thumb to follow when setting custom report options in the Options windows:

1) Never include the current date on your final reports.

2) OFCCP generally does not approve of the use of the Whole Person Rule coupled with the 80% Rule or the 2 Standard Deviations Test.

3) OFCCP generally agrees with the use of the 80% Rule or the 2 Standard Deviations Rule on the Utilization Summary, Availability Analysis and Annual Goals Reports.

4) Do not display salary data on your reports, other than salary analysis reports.


Default Report Settings

Click the Restore Defaults button before printing to set all reports to suggested print settings.


Printing Midyear Reports

If you have Current Midyear Adverse Impact Data that you need to print reports for, you will need to print separate reports that will show this data.

These are the reports you will need to print and show the midyear data on:

  • Adverse Impact Report
  • Goals Progress Report

To print year to date reports & graphs:

1) Click the Restore Defaults button on the Report Options tab.

2) Click on the Options button to the right of Adverse Impact Report.

3) Check the box next to Midyear Report.

4) Click the print button.

5) Click ok on the PDF Creation Complete message

6) Click close

7) Repeat steps 2-6 for the Goals Progress Report .

  • Don't forget to restore report defaults when you are finished printing the year to date reports!


Add In Hires and Promotions Option

If you have more hires than applicants in your Applicant Flow Report, you have the option to run a supplemental report that adds hires to total applicants. It is better, however, to correct any inaccuracies in the data before using this option.

If you had more promotions from/within or terminations from the group than what you began with, the results will be invalid. Running a supplemental report that adds hires and promotions to beginning employee totals may yield statistically valid results. It is better, however, to correct any inaccuracies in the data before using this option.

To Add in Hires and Promotions:

1) Click the Reports icon.

2) Click Report Options tab.

3) Select Options for Adverse Impact Reports.

4) Un-check the activities for which you do not wish to run a supplemental report.

5) Type the word “Supplemental” before the header.

6) Click “Always Add in hires and promotions if necessary.”

7) Click “Print”.

8) The report will add hires and promotions to all groups’ incumbents and/or applicants, which may yield statistically valid results.

9) Return to the Report Options tab and click “Restore Report Option Defaults”.

It is not recommended that you submit this or any other supplemental report described in this section to an OFCCP auditor unless he or she specifically requests them.


Printing Your Graphs

Not all reports have associated graphs. Customizable graphs are available for the following reports:

  • Workforce Analysis
  • Job Group Analysis
  • Availability/Utilization
  • Goals Progress

You must access the Options window for each report in order to print graphs. There are two ways to access the Options window. The first way is to click Reporting and then Required Reports then select each report individually. The second way is to click the Reports icon, click the Report Option tab, then click the Options button for each report.

In each Options window, simply click the Graph button to access the Graph printing window. The following shows the available graphs and their recommended settings.

Rollup Reporting

ProTag.jpg There is a visual indicator to let users know that all reports are filtered by a rollup employee. The background color for most forms will now change to a dark red if the user has chosen to roll up reports based on a supervisor. The background color will revert back to dark grey when the rollup is cleared.
