Companies Window Overview
The Companies window displays a list of companies that currently exist in the data location specified by the user. A “company” can be considered a data folder that stores data and reports for a company and its locations for a particular AAP year.
Window Layout
Company Grid
The company grid has 5 columns that help identify existing companies.
- Lock – The first column will show a lock icon in the row of a company if that company has been locked.
- Company – The company’s name.
- Start Date – The start date of the company’s affirmative action plan.
- End Date – The end date of the company’s affirmative action plan.
- Identifier – An optional and short string of text that can further describe a company.
A search box will appear in the first row of the grid. Text typed within this box will filter the companies based on the values in the Company and Identifier columns.
Right-clicking on a company will provide the user with the following context menu:
Menu Option | Description |

Open Company | Opens the selected company. |
Copy Company | Creates an exact copy of the selected company. |
Lock Company | Locks the company. Data entry and import will be prohibited as well as publishing documents. |
Release Ownership | In a multi-user environment, this will allow the “ownership” of a company to be transferred to another user. |
Backup Company | Backs up the current company to an encrypted .aap file. |
Restore Company | Restores a company from an encrypted .aap file with the option to overwrite the currently selected company. |
View Company Folder | Opens a Windows File Explorer window with the company’s data folder in focus. |
Delete Company | Deletes the currently selected company. |
Tools Button
The tools button allows the user to perform the following functions:
- Options… – Brings up an options window where the following options can be set.
Option Description Default Auto Lock Company Data (Application Option) Only allow users who have ownership of a company’s data to edit, import, etc. Off Show All Companies (User Option) Show every company that can be opened. If this option is unchecked, only companies that the user has designated as being an owner of will appear. On
- Advanced Functions -> Choose Data Location… – Opens the Data Location Setup window where the application can connect to existing data storage locations or create a new data storage location.
- Advanced Functions -> Import a company from Version 11… – Opens a company pick window that shows companies that are currently visible in Version 11 of The Complete AAP 12™ software. If a company is chosen, that company will be imported into the current version of the software.
New Button
The New button will bring up a dialog that allows the user to select the type of company file.
- Create an empty company. – Creates a new company with no data at all. All data must be imported or manually entered.
- Copy [company name] and prepare it for a new plan year. – Performs the following functions:
1. Copies the selected company. 2. Fills in the Prior Goals values (in the new company) with the Annual Goals from the source company. 3. Adds “WORKFORCE” activity records into the activities window (in the new company) for every employee in the source company 4. Deletes the employees from the new company so a new workforce can be imported.
- Copy a company from Version 11 and prepare it for a new plan year. – Performs the following functions:
1. Shows a listing of companies within version 11 of The Complete AAP™. 2. Imports the selected version 11 company into version 12. 2. Fills in the Prior Goals values (in the new company) with the Annual Goals from the source company. 3. Adds “WORKFORCE” activity records into the activities window (in the new company) for every employee in the source company 4. Deletes the employees from the new company so a new workforce can be imported.
- Create an exact copy of [company name]. – Copies the selected company and provides an opportunity to rename the new company.
Open Button
Opens the company that is currently selected in the grid. An alternative to using this button would be to double-click a company (displayed in the grid) to open it. Pressing the [ENTER] key on your keyboard will also open the selected company.
Status Bar
The status bar on the bottom of the Companies window displays two informational items.
- Left Side – The location of the “Aap12Data” folder. This is the folder that serves as the storage area for every company in the Companies grid. If the folder path is clicked on, a Windows File Explorer will appear with the folder in focus.
- Right Side – The directory stub of the currently selected company. This is a random 8 character folder name to hold the company’s data. If the directory stub is clicked on it will open a Windows File Explorer with the company’s folder in focus. Please do not rename this folder as it is referenced throughout the application and may make the company inaccessible.
Frequently Asked Questions
- How do I delete a company?
- Right-click on any company and choose the “Delete Company” option from the context menu. You will be asked to confirm that you want the company deleted. This cannot be undone, but if the company was backed up previously and you know the location of the backup file (.aap) you can always restore the company from that file.
- I don’t see any of my companies. What happened?

The current data storage location is shown in the bottom left-hand corner of the Companies window. Notice that the path ends with a folder called “Aap12Data”. This is the name of the folder that typically stores all of the companies. If you know the real data storage location, you can perform the following steps to tell the software to use the new/existing location.
- Click the Tools button on the Companies window.
- Choose Advanced Functions and then Choose Data Location…
- On the Data Location Setup window, choose the Existing Location option and click the “Browse” button underneath that option.
- A browse dialog will appear where you can browse your computer and network drives to find another “Aap12Data” folder.
- After you have successfully located the “Aap12Data” folder, you can click the OK button on the Data Location Setup window. You will be asked for your password and then granted access. All of the companies that are in that folder will now appear in the Companies window.
- Is locking a company necessary?
- No. However, in multi-user or consultant environments it is a good way to show everyone else using the software that the company is “finished” and no changes should be made. In a locked company, a user can still open the company to view the data, but data editing, importing and publishing are disabled.
