Publish Window Overview

The Publish window allows the user to publish documents and/or sections for one or more locations (AAPs) to a variety of formats. The Complete AAP 12™ comes with many documents and sections to choose from, but the user may also create custom documents and custom sections to meet their specific reporting requirements.

Tools Button

The Tools button allows the user to set a few publishing and screen options quickly. Click on the button to view a list of functions available.

Publishing Options…

With the exception of PDF Password, all of the below options are “Company Options”, which means that changing them will only affect the company that the user currently has open.

Confidential Line Back Color The background color of the confidential line in the footer of each report.
Confidential Line Font Color The font color of the confidential line in the footer of each report.
Confidential Text The text to display in the confidential line in the footer of each report.
Footer Logo The full path and filename of a logo to display in the footer. The logo has an available size of 317px x 38px within the footer. The logo will be resized to a height of 38 pixels. Images with a canvas size of 634×76 or 1268×152 will print the best.
Footer Logo Position A footer logo can be displayed in 1 of 2 positions at the bottom of reports. If the footer logo is displayed, it will be shown instead of the middle, or right footer text depending on its placement.
Middle Footer Text The text to display in the middle portion of a report footer. The footer can display up to three lines of text. Html text formatting and paragraph formatting may be used. Dynamic replacements: [Company Name] [Company Identifier] [Location Code] [Location Name] [Address Line 1] [Address Line 2] [City] [State] [Zip] [Plan Begin Date] [Plan End Date] [Application Name] [Application Version] [Current Date] [Current Year] [Page #] [Total Pages].
Right Footer Text The text to display on the right side of a report footer. The footer can display up to three lines of text. Html text formatting and paragraph formatting may be used. Dynamic replacements: [Company Name] [Company Identifier] [Location Code] [Location Name] [Address Line 1] [Address Line 2] [City] [State] [Zip] [Plan Begin Date] [Plan End Date] [Application Name] [Application Version] [Current Date] [Current Year] [Page #] [Total Pages].
Show Footer Dividing Line Show a dividing line between the footer and the detail section of reports.
Column Header Back Color The background color of the column headers.
Column Header Border Color The border color of the column headers.
Column Header Font Color The font color of the column headers.
Header Text Line 1 The text to display on line 1 of each report. Header Text Line 4 The text to display on line 4 of each report. Mid-Year Text The text to display next to each report’s title when the company is in a mid-year update.
Narrative Bottom Margin The bottom margin in inches.
Narrative Left Margin The left margin in inches.
Narrative Right Margin The right margin in inches.
Narrative Top Margin The top margin in inches.
PDF Password The password to use when creating PDF files. When attempting to open the file, a password will be required. If it is empty, a password will not be required to open the PDF file. This is an application option, which means that if this value is changed, it will affect every company that is in the software.
Watermark Text The text to display as a watermark on every report for this company. If it is empty, a watermark will not display.

Screen Options…

All of the below options are “User Options”, which means that changing them will only affect the current user’s view.

Custom Section Row Color The background color for custom sections in the grid. This will also affect the background color for custom documents.
Options Have Changed Row Color The background color for sections that have at least one option that differs from the default value.

Reset All Options to Recommended Settings

This function will reset every option in every section (for the current company only) to the recommended values.

Reset All Text to Default Language

This function will reset every narrative section’s content option (for the current company only) to the original recommended text. An example of a narrative section would be “Confidential Trade Secret Materials”.

The Publish Type drop-down list allows the user to select the format that the document(s) or section(s) should be published to. The following types are available:

  • Preview to Screen
  • Print to Printer
  • Adobe Acrobat (.pdf)
  • Comma Delimited (.csv)
  • Excel 97-2003 (.xls)
  • Excel Worksheet (.xlsx)
  • Rich Text Format (.rtf)
  • Web Archive (.mhtml)
  • Word Document (.docx)

Publish Button

The Publish button allows the user to publish documents or sections to the selected publish type.

If the “Publish Type” is anything other than “Preview to Screen” or “Print to Printer”, The Complete AAP 12™ will write the digital file to the location’s publish folder. This folder can be accessed by clicking the yellow folder button to the right of the location’s name.

Frequently Asked Questions

How can I place a watermark on every page of my document?

  1. Click on the Tools button in the upper-right corner of the screen.
  2. Choose “Publishing Options…”.
  3. Scroll down through the options until you see the “Watermark Text” option.
  4. Click into the option’s value cell (which will most likely be blank) and type in any text you wish to be used as a watermark. It is recommended to use a short word or phrase so that the entire watermark will fit on the page. Example: DRAFT

Why are some of my sections highlighted in green?

The green color indicates that an option for that section was changed by the user and it differs from the original default value. For example, if the user changes the “Use Whole Person Rule?” option in the Annual Goals section to be checked, that section would be highlighted green in the list because the default value of that option is unchecked.
